Update – March 2026

The March 2026 release brings meaningful upgrades to security, scheduling, and everyday productivity within PracticeEHR. This month, we're rolling out Two-Factor Authentication via Google Authenticator, a dedicated Voice Knowledge Base for our AI Agent, bi-directional Google Calendar sync, and a new in-app AI Assistant.

Together, these enhancements are designed to keep your practice more secure, your schedules more accurate, and your daily workflows faster and easier than ever.

Two Factor Authentication – Google Authenticator

As part of our continued commitment to improving user experience, operational efficiency, and account security, the PracticeEHR team is introducing Two-Factor Authentication (2FA) using Google Authenticator.

To further strengthen system security, 2FA will now be required for all user logins going forward.

Navigational Steps to enable 2FA:

Profile Settings > User Settings > Security > Enable Two Factor Authentication

Benefits of 2FA

  • Adds an extra layer of security to your account

  • Helps protect sensitive patient and practice data

  • Reduces the risk of unauthorized access

  • Improves overall login security for all users

How It Works

Step 1: Download and install the Google Authenticator app on your iPhone, iPad, or Android device if it is not already installed.

Step 2: Link your mobile device to your PracticeEHR account.

Step 3: You can link your device using either of the following methods:

1. Scan the QR Code

2. Enter the Secret Key manually

Step 4: When the user enters the correct token from Google Authenticator in the Google Authenticator Two-Factor Token field and clicks Proceed, the system enables 2FA and displays a confirmation notification.

Note: A switch is available in the User Profile that allows users to disable Two-Factor Authentication if they choose not to use this feature.

Voice Knowledge Base - AI Agent

PracticeEHR is introducing a new Voice Knowledge Base to improve the quality of responses delivered through the AI voice interface.

This enhancement allows the AI Agent to use a dedicated knowledge source designed specifically for voice-based interactions. By doing so, responses become more focused, concise, and easier to understand when heard, creating a better overall experience for users who interact with the system by voice.

What’s New

The AI Agent will now query a dedicated Voice Knowledge Base when handling questions submitted through the voice interface.

Key Benefits

  • Provides responses optimized for voice interactions

  • Improves clarity and brevity for spoken answers

  • Delivers more relevant and context-specific information

  • Reduces reliance on general data when voice-specific knowledge is available

  • Creates a more natural and efficient voice experience

How It Works

  • When a user asks a question through the voice interface, the AI Agent first checks the Voice Knowledge Base

  • If relevant information is available, the system uses that content to generate the response

  • Responses are grounded in this voice-specific knowledge source to ensure they are brief, relevant, and suitable for auditory delivery

Google Calendar Bi-Directional Sync Integration

PracticeEHR has introduced a bi-directional integration with Google Calendar to help providers manage schedules more efficiently and reduce the risk of appointment conflicts.

With this enhancement, calendar data between PracticeEHR and Google Calendar is synchronized automatically in the background. This ensures that provider availability, blocked time, and appointments stay up to date across both systems without requiring manual double entry.

What’s New

PracticeEHR now supports a bi-directional backend sync with Google Calendar for linked provider accounts.
This integration is designed to automatically exchange scheduling updates between both platforms, helping maintain accurate and current calendar information.

Key Benefits

  • Keeps provider schedules aligned across PracticeEHR and Google Calendar

  • Reduces manual scheduling effort and duplicate data entry

  • Minimizes the risk of overlapping bookings and scheduling conflicts

  • Improves calendar accuracy through real-time synchronization

  • Supports better visibility into provider availability

How It Works

  • When an appointment is created or updated in PracticeEHR, the update is automatically reflected in the linked Google Calendar.

Visuals

  • Creating an Appointment in the PracticeEHR shown below:

  • The created appointment will be reflected on the Google Calendar, as shown below:

  • When an event is added or updated in the linked Google Calendar, the system syncs it back into PracticeEHR as a blocked slot or mapped appointment, based on system rules.

  • The system will sync it back into PracticeEHR, as shown below:

  • The integration works in the background using real-time webhook-based synchronization

  • The system evaluates matching records and applies predefined logic to associate synced events with the correct provider and patient profile, where applicable

  • Available time slots are reviewed across both calendars to support more accurate scheduling

Included in This Release

  • Backend configuration of Google Calendar webhooks for real-time updates

  • Support for provider-specific integration settings

  • Bi-directional synchronization between PracticeEHR and Google Calendar

  • Logic for linking Google Calendar events to PracticeEHR appointments

Expected Outcome

With this release, providers benefit from a more connected scheduling workflow, where updates made in either PracticeEHR or Google Calendar are reflected across both systems automatically, improving efficiency and reducing scheduling conflicts.
